Property management is a stack, not a system.

Most operators run their business across four or five disconnected tools. A listing site here. A tenant portal there. An accounting system that does not know what a lease is. A spreadsheet for the rent roll. Owner statements written by hand. The result is duplicated data entry, silent errors, and hours a week that should not exist.

Data lives in silos.

Rent rolls in Excel, accounting in QuickBooks, listings on a portal, maintenance in email - nothing talks to anything.

Owners want answers in real time.

"What did we collect this month?" should not require a three-day round trip through your inbox to answer.

Mixed portfolios do not fit any one tool.

Residential software cannot handle CAM. Commercial software cannot handle nightly rates. Short-term platforms cannot handle year-long leases. Operators end up buying three.

Compliance is an audit landmine.

Trust accounting, deposit deductions, escalation math, 1099s at year-end, IFRS 16 for public tenants - patchwork tools mean patchwork evidence.

Your data is not yours.

Every SaaS platform locks you into their schema and their export limits. Migrating out is painful by design.

Screening, e-sign, and payments need ten more logins.

Each integration is another vendor, another contract, another surface for outages and support tickets.

One suite. Two modules. Full coverage.

The Property Management Suite is a native Odoo application that turns Odoo into a full property management platform. It ships as two modules you can install together or separately.

Property Management

The operations engine - properties, units, leases, accounting, AI, dashboards, and reports.

  • Properties and units with mixed-portfolio classification
  • Full lease lifecycle: draft, signed, active, renewed, terminated
  • Recurring rent invoicing with tiered late fees and lockout
  • AI lease-to-ledger: drop a PDF, get a structured lease
  • Owner-Manager Command Center (OWL dashboard)
  • Trust accounting with locked periods and owner-link enforcement
  • IFRS 16 / ASC 842 ROU schedules for commercial tenants
  • Owner statement PDF, per-property P&L / NOI reports
  • Year-end 1099-NEC generator
  • Move-in / move-out inspection with photo checklist

Property Website

The public face - listings, inquiries, applications, bookings, and syndication feeds.

  • Public listings page with sidebar filters and Leaflet + OpenStreetMap map
  • Property and unit detail pages with photo carousel and schema.org SEO
  • Inquiry capture with email acknowledgement and manager activity
  • Full rental application intake with KYC and screening fields
  • Short-term booking flow with date picker and overlap detection
  • XML syndication feeds for Zillow, Bayut, and PropertyFinder
  • Featured Listings snippet for the homepage
  • One-click Inquiry to Application to Lease conversion

Three capabilities you will not find bundled anywhere else.

01

AI Lease-to-Ledger

Drop a lease PDF into the wizard. In under a minute, the AI reads the document, extracts the tenant, dates, rent, escalation, deposit, and clauses, and returns a structured preview you can review before creating the lease. The system posts a full rent schedule, sets renewal reminders, and links the source PDF. Digitising a portfolio of 200 old leases used to take days. Now it is an afternoon.

02

One record type for every kind of property.

Residential apartments, commercial offices with CAM, ground-floor retail with percentage rent, short-term holiday flats with nightly rates, parking spots, storage units - all live as one unit type with a kind selector. You get one rent roll, one P&L per asset, one command center that reflects the entire portfolio. Mixed-use developers stop shopping for three separate tools.

Owners see everything, on their own time.

Every owner logs in to their own portal at /my/properties and sees live occupancy, collected revenue, outstanding receivables, a printable monthly statement, and an aggregate ROI dashboard across every property they own with you. "What did we collect this month?" becomes a link they already have.

Uses Odoo Discuss under the hood

How it works.

A typical lease flows through the system in four steps. Every step is optional and can start from any point.

1

Publish the unit.

Create a property, add units, mark them as listed, and they appear on the public website with photos, filters, and a map pin.

2

Capture the lead.

Prospects submit an inquiry from the listing page. The manager gets a task, the visitor gets an acknowledgement, and the inquiry lands in the pipeline.

3

Convert to lease.

Qualify the inquiry, send a rental application, review the screening result, approve, and click Convert to Lease. Or drop an existing PDF into the AI wizard.

4

Operate.

Rent invoices generate automatically, tenants pay through the portal, maintenance requests arrive with photos, inspections calculate deposit refunds, and owners see everything live.

Built for real portfolios.

Property Management Suite has been designed against six real-world operator archetypes. If any of these sound like you, this is built for you.

Residential Property Manager - 80 doors, single market

You manage 80 apartments across three buildings for two different owners. You spend hours each month cutting owner statements, chasing late rent, and updating a Google Sheet rent roll. The suite gives you one rent roll, automatic invoicing with tiered late fees, portals for both owners, and a year-end 1099-NEC wizard.

Mixed-Use Developer - ground-floor retail + apartments

You just handed over a mixed-use project on the waterfront. You need to lease retail on percentage-rent terms, apartments on annual leases, holiday flats by the night, and parking by the month. The suite handles all four under one property with one command center.

Commercial Landlord - office tower, IFRS 16 tenants

You own floors 10 through 22 of a business tower, leased to 12 corporate tenants under 3-year commercial contracts with CAM recoveries and renewal options. Some of your tenants are public companies and need IFRS 16 ROU schedules. The suite generates these automatically.

Vacation Rental Operator - 6 units, multiple channels

You run six holiday apartments listed on Airbnb, Booking.com, and your own site. You need a single calendar that shows every booking regardless of channel and a direct-booking flow with minimum-stay validation and overlap checking. The suite handles direct bookings and channel tracking for the aggregators.

Family Office - 35 mixed-vintage legacy properties

Your family office manages 35 properties acquired over decades, with leases stored as scanned PDFs and rent rolls in five different Excel files. The AI lease abstraction wizard digitises the entire portfolio in an afternoon, and every beneficiary gets their own investor portal.

Real Estate Brokerage - expanding into management

Your brokerage wants to add property management as a recurring-revenue service for existing seller clients. You need to pitch owners on live KPIs and a self-serve portal, and you need a simple flow from listing to inquiry to lease. The suite is your platform.

Why Odoo, not another siloed SaaS.

Property management sits at the intersection of accounting, CRM, HR, inventory, purchase, and website. Odoo is the only mainstream platform that has all six on the same schema. Running property management on Odoo means running it on the same ledger as your business.

Your data, your server.

Tenants' financial records live on your Odoo instance, not a third party's cloud. Backups, audits, and portability are on your terms.

One ledger.

Accounting, payroll, maintenance parts, vendor bills, lead pipeline, and website all read and write the same property records. No brittle integrations.

Open architecture.

Every property, unit, lease, invoice, tenant, and owner is reachable via Odoo's REST and XML-RPC APIs. Zapier and Make.com integrations work on day one.

Multi-currency, multi-company, multi-tax-region.

Native support out of the box. US-centric SaaS tools struggle here; Odoo handles it natively.

One vendor relationship.

One deployment. One partner. One upgrade cycle. Not N disconnected external tools with their own logins and support channels.

Modern, on purpose.

Frequently asked questions.

Which Odoo version does this support?
Latest Odoo (19.0). Community and Enterprise. Earlier versions are not currently supported.
Do we need the AI features to use the suite?
No. The AI lease abstraction is optional and only runs when you explicitly upload a PDF to the wizard. You can operate the entire suite without it.
Which AI providers work?
OpenAI, Anthropic Claude, or a local Ollama server. Configuration is a system parameter - you bring your own API key. Your data never crosses your boundary except the specific lease text you upload.
Does this replace Odoo Accounting?
No. It extends Odoo Accounting. Every property invoice posts to your normal accounting journals; property tags are added so you can slice by property, owner, and lease.
Does this handle multi-company?
Yes. Every property, unit, lease, invoice, and report respects the standard Odoo multi-company scoping.
Can we run the website module without the backend?
No. The website module hard-depends on the backend module. The backend can run without the website module.
Can we customise the listing page and inquiry form?
Yes. The templates use Odoo's QWeb inheritance - a partner or in-house developer can override anything with a standard inherit_id record.
Do we get the source code?
Yes. The suite ships as a normal Odoo module. Full source is available to your team.
What integrations are available?
Every Odoo module you already have on the system - Sign, Documents, Discuss, Purchase, HR, Maintenance, Website. External integrations (Stripe, screening providers, smart locks) are available through Odoo's standard connector patterns or Zapier and Make.com.
What about payment gateways?
Odoo's standard payment providers work on tenant invoices out of the box. That includes Stripe, PayPal, Adyen, and regional gateways.
Is there a public API?
Yes. Every model in the suite is reachable via Odoo's standard REST and XML-RPC APIs with no extra work.
Do we own the data?
Yes. Your Odoo database is yours. Export, migrate, or back up on your own schedule with no vendor gate.
